Fiscal Department
Supports ICCAP’s general agency operations through financial recordkeeping, payroll support, accounts payable, deposits, reporting, filing, and other fiscal office functions that help maintain accurate and organized agency financial records.
Position Summary
The Fiscal Assistant supports ICCAP’s financial operations by assisting with accounts payable, payroll preparation, deposits, filing, reporting, and general fiscal recordkeeping. This position helps ensure financial documents are organized, accurate, processed timely, and maintained in accordance with agency procedures.
Reports To: Chief Financial Officer (CFO)
Areas of Responsibility
- Accounts payable and payment processing
- Payroll support and time sheet review
- Bank deposits and fiscal recordkeeping
- Monthly reports, spreadsheets, and backup documentation
- Confidential handling of financial, payroll, and agency information
Core Duties
- Process bills, purchase orders, payment authorizations, and related fiscal documents
- Assist with preparing checks, payments, deposits, and supporting documentation
- Review and enter payroll information for processing
- Maintain organized fiscal files and accurate financial records
- Prepare monthly reports, logs, and spreadsheets as assigned
- Maintain confidentiality in all financial and agency matters
Minimum Qualifications
- Associate degree in Accounting with understanding of accounting principles preferred; or one to three years of bookkeeping or related fiscal experience
- Working knowledge of accounting principles and procedures
- Strong verbal and written communication, and organizational skills
- Ability to work independently and cooperatively with staff and meet appropriate deadlines
- Basic computer skills and ability to work with financial records and spreadsheets
- Nonprofit or social service fiscal experience preferred
Requirements
- Valid Pennsylvania driver’s license, reliable transportation, and proof of vehicle insurance meeting agency standards
- Willingness to travel in Indiana County and other counties as required
- Ability to obtain Motor Vehicle Report and Act 33 and Act 34 clearances
- Ability to maintain confidentiality with financial, payroll, donor, and agency information
Work Environment & Expectations
Office-based position with regular interaction with fiscal staff and agency personnel. This role requires accuracy, organization, confidentiality, attention to detail, and the ability to manage multiple tasks and deadlines.
